Overview

What is Vendarity?

Vendarity is supplier document management software for procurement, quality and operations teams. It collects insurance certificates (COIs and certificates of currency), ISO certificates and policies from suppliers and contractors, lets your team check and accept each one, and shows what is missing, waiting for review or expiring soon. A person makes each acceptance decision; optional AI can suggest the details with page references. Vendarity serves businesses in the United States, Canada, the United Kingdom, Australia and New Zealand.

Whether you call them suppliers, vendors or contractors, their certificates and insurance documents sit in one place, with a record of who checked each one.

Why Vendarity

Three questions, answered in one place.

  1. Missing

    What is still missing?

See which suppliers still haven’t provided a document you need.

  2. Waiting

    What is waiting for review?

See documents waiting for a reviewer, with the file shown beside its details.

  3. Expiring

    What expires next?

See accepted documents nearing their expiry or review date, in time to ask for the renewal.

Document coverage

Received isn’t the same as current.

Document coverage is the share of assigned requirements that have an accepted, in-date document. Move the date in the example to see when a certificate stops counting, and what a replacement changes.

Example · fictional data · one certificate and its replacement
Replacement certificate
Replacement starts Choose a replacement first

Current until 30 Jun 2027. With automatic reminders on, renewal reminders are planned from 31 May 2027.

Received isn’t accepted
A document counts only after your reviewer accepts it. A replacement waiting for review doesn’t count yet.
Current until the earlier date
An accepted document stays current until its expiry date or its review date, whichever comes first.
A gap shows as a gap
Back-to-back documents keep the requirement current. A gap of even one day shows as a gap.
Renewals are asked for ahead
Once an Owner or Admin turns on automatic reminders, the standard schedule asks for the renewal 30, 14, 7 and 1 days before expiry. You can change the schedule.

Document coverage, not a legal compliance guarantee.

What you get

What Vendarity does with each document.

Check the details beside the file

The company, site, standard and dates sit next to the document. A company or site that doesn’t match is flagged for your reviewer.

Optional AI that shows its work

When your workspace turns AI on, AI reads each new document and proposes its details, showing where on the page it found each one or saying it wasn’t found. It never accepts a document.

No account for suppliers

Suppliers open a private link and enter a code sent to their own email. They need no account, pay nothing and don’t count as team members.

History you can rely on

Replaced documents are kept for 5 years by default, and decisions stay on record. Reports can show what was on file on a past date.

Access that follows people

Remove someone’s access and they can’t download files any more. Each download checks the person’s access at that moment.

Evidence packs

Download ZIP files of the documents on file at a chosen date, with a PDF summary, for an auditor or a customer.

Free tool

See which supplier documents expire soon, from your spreadsheet.

Choose a CSV export of your spreadsheet and the free renewal preview lists the expiry dates coming up. It reads the file in your browser: nothing is uploaded, and no sign-up is needed.

Built to be checked.

People decide
AI never accepts a document or approves a supplier. Each acceptance is recorded with the reviewer who made it.
Where your data is
The app and its database run on a server in Kuala Lumpur, Malaysia. Uploaded documents are stored, encrypted, in the eastern United States. Your data is not kept only in your own country. Providers and details
Who can see what
Each person’s role sets what they can see and do. Suppliers see only their own requests and any documents you choose to share with them.
What it doesn’t do
Vendarity shows what each document says and who accepted it. It doesn’t check certificates with the issuer.

Questions

Questions before you start.

All questions
What does the trial include?
Every step: your team can set requirements, collect documents, review and accept them, and track renewal dates.
SMS reminders can accompany email reminders to mobile numbers in Australia, once an Owner or Admin turns SMS on; New Zealand, the United Kingdom, the United States and Canada follow once each route is approved.
How does a supplier provide documents?
They open a private link, enter a code sent to their own email address and upload the document or answer the questions. Suppliers use it free.
Does AI approve documents?
No. AI is optional: it is offered when you set up a workspace, and an Owner or Admin can turn it on or off in Settings. While it is on, it reads each new document as it arrives and suggests details with page references. It never accepts a document; a person decides.
What happens when a document expires or a replacement is waiting?
A document stops being current at its expiry or review date. A replacement waiting for review doesn’t count until someone accepts it, so the requirement needs attention until then.
